How to Choose the Best Restaurant POS in the UAE (2026)

29 October 2026 · GrandTable POS

There is no single best restaurant POS in the UAE. The right system is the one that matches how your venue makes money: where the orders come from, how your kitchen works, and how closely you need to watch food cost and staff costs.

Most comparisons stop at the till. In the UAE, the till is the easy part. What separates a good POS from an expensive mistake is whether it shows your real profit, handles 5% VAT correctly, keeps working when the WiFi drops, and fits the staff admin that every UAE operator carries.

Key takeaways

  • Decide your restaurant format first, then compare features against it.
  • Judge a POS on what it tells you after service, not just how fast it bills.
  • Count the total cost: hardware, add-on modules, set-up and separate inventory or HR tools, not only the monthly fee.
  • Test every claim in a live demo on your own menu, ideally on your own devices.

1. What kind of UAE restaurant are you running?

Start with your format. A café and a cloud kitchen can both call themselves restaurants, yet they need very different things from a POS.

Restaurant formatWhat matters most in a POS
Café, bakery or coffee shopFast counter billing, simple modifiers, card and Apple Pay at the counter, low monthly cost
Full-service dine-inOnline bookings, table plan, split and merge bills, kitchen and bar screens, guest QR ordering at busy times
Bar or loungeSeparate bar screen, open tabs, tight stock control on high-value bottles
Delivery-led or cloud kitchenDelivery aggregator orders on one screen, quick ticket flow to the kitchen, food cost per dish
Owner with several venuesOne owner login, each venue's numbers side by side, a combined live view

If you fit two rows, weigh the one that brings in most of your revenue.

2. The POS features that actually matter in the UAE

Live profit, not just sales. Sales reports tell you what you sold. A useful POS links recipes to stock, deducts ingredients on every sale and shows food cost % and profit during the day. Without that, most owners learn their margin only when the accountant closes the month.

VAT invoices done right. UAE restaurants charge 5% VAT on dine-in, takeaway and delivery, and registration is mandatory above AED 375,000 of taxable turnover. Every bill should produce a tax invoice with your TRN, the VAT amount and the total, without manual work. The UAE is also rolling out e-invoicing: businesses with revenue of AED 50 million or more must comply by 1 January 2027, and smaller businesses by 1 July 2027. Sales to consumers are exempt for now, but ask any vendor how they will handle supplier and corporate invoices.

Delivery orders on one screen. Many UAE venues sell through Talabat, Deliveroo, Careem, Noon and others. Retyping those orders into the till causes missed and wrong orders. Look for aggregator orders that arrive straight in the POS and route to the kitchen.

Guests ordering from their own phones. At busy times, the slowest part of service is often waiting for someone to take the order. With table QR ordering, guests scan the code on their table, browse the menu on their own phone and send the order straight to the kitchen and bar, already linked to the right table. Many systems charge for this as a separate app or module, so check whether it is included in the price.

Payments that suit how guests pay. Guests here expect card, Apple Pay and Google Pay. Check whether the POS works with your card machine, or can take these payments through an account such as Stripe or PayPal so a new venue can skip the terminal.

Offline mode. WiFi drops mid-service. Orders, kitchen screens and cash payments should keep working and sync later. Card payments will still need internet on almost any system, so have a backup plan.

Staff and HR basics. UAE teams carry visas, Emirates IDs, labour cards and health cards, each with an expiry date. A missed renewal can mean fines. A POS that tracks these alongside staff roles and salaries saves a separate HR tool.

Online bookings in the POS. A booking sitting in a separate app is one the kitchen never sees. When online bookings land straight in the POS, front of house can plan tables and the kitchen can see covers coming and prepare for them.

Staff rotas linked to your P&L. Labour is usually the biggest cost after food. A rota built in the same system as your sales shows whether the hours you schedule match the trade you expect, before the week starts, not after.

One view across venues. If you own more than one venue, you should be able to see each one, and all of them combined, from your phone.

Hardware you control. Proprietary terminals add upfront cost and lock-in. A POS that runs on standard tablets and phones is cheaper to start and easier to replace.

Support when you trade. Restaurants trade late and on weekends. Ask who answers, on which channel and at what hours. WhatsApp support suits how most UAE owners work.

Fast staff training. F&B turnover is high, so a new server should be able to take orders on day one.

3. Buyer's scorecard: score any POS out of 5

Score each system you are considering from 1 (weak) to 5 (strong) after its demo. A low score on profit visibility, VAT or support will usually cost you more than any saving on the subscription.

4. Questions to ask in a POS demo

A sales deck can claim anything. Ask the vendor to show each answer on screen, using a few dishes from your own menu.

  1. Add a recipe, sell the dish, and show me the stock deduction and the food cost % change.
  2. Print a tax invoice. Where is the TRN, and how is the 5% VAT shown?
  3. How will you handle the UAE e-invoicing rules for supplier and corporate invoices?
  4. Show me a delivery aggregator order arriving and reaching the kitchen. Which platforms do you connect to today?
  5. Scan a table QR code on my own phone, place an order and show me where it lands. Is guest ordering included, or extra?
  6. Make a test online booking. Where does it appear, and can the kitchen see the covers coming?
  7. Build next week's rota. Show me how its labour cost shows up against sales in the P&L.
  8. Switch off the WiFi. What still works, and what syncs when it comes back?
  9. Which payment methods can I take, and do I need your card terminal?
  10. If I open a second venue, show me the owner view across both.
  11. What hardware must I buy, and what does year two cost in total?
  12. How long does set-up take, who builds my menu, and can you import it from my current POS?
  13. Who answers support at 11 pm on a Friday, and on which channel?

5. What a restaurant POS really costs in the UAE

The monthly fee is only one line. Compare the full cost of running the system for two years:

  • Software: priced per outlet or per device, often billed annually.
  • Hardware: terminals, printers and kitchen screens, if the vendor requires its own.
  • Add-on modules: kitchen display, inventory, QR ordering, delivery integration or multi-venue reporting are often extra.
  • Separate tools: inventory, HR and reporting software you would otherwise pay for, plus the spreadsheets that fill the gaps.
  • Set-up and training: menu build, staff training and any data migration.

Then weigh that against what the POS saves: fewer missed delivery orders, tighter food cost, fewer expired staff documents and less time preparing VAT returns.

As an example, GrandTable POS costs AED 75 per device a month with every feature included and no hardware to buy. A two-device venue pays AED 1,800 in year one if it is one of the first 25 venues (yearly platform fee waived), then AED 2,800 a year. Optional set-up runs from AED 500 (remote) to AED 2,500 (full menu build and staff training). Prices exclude VAT.

6. Where GrandTable POS fits, and where it doesn't

GrandTable POS is built in Dubai for independent restaurants, cafés and bars, and for owners running several venues. It puts the till and the back office in one system that runs on the tablets, phones and computers you already own.

What it covers from the scorecard

  • Recipes linked to stock, automatic stock deduction and a live P&L with food cost % and salaries
  • VAT tax invoices with your TRN
  • Delivery aggregator orders coming into the POS
  • Card, Apple Pay and Google Pay through your own Stripe or PayPal account, or your existing card machine
  • Orders, kitchen screens and cash payments that keep working offline
  • Staff records with visa, Emirates ID, passport, labour and health card expiries flagged 30 days ahead
  • One owner view of every venue, separately and combined, from your phone
  • Online bookings straight into the POS, visible to front of house and the kitchen so they can prepare
  • Staff rotas set up in the POS and linked to your P&L, so labour cost is visible
  • Guest ordering from their own phones: they scan the QR code on their table and orders go straight to the kitchen and bar, at no extra cost to the venue
  • Kitchen and Bar screens, monthly KPI targets and a daily PDF report, all included
  • 24/7 support from a Dubai team on WhatsApp

Where it is not the right fit yet

  • Teams that need an Arabic interface today. Arabic is planned for 2027.
  • Venues that take mostly card payments on unreliable internet. Card payments need a connection.
  • Operators who need their menu imported automatically from another POS. Menus are set up by hand or through a set-up package.
  • Buyers who want a long list of published UAE case studies. GrandTable is a newer product.

If GrandTable scores well on your card, test it the same way you would test anyone else: start the free 7-day demo on your own devices, with no card needed.

7. UAE restaurant POS FAQs

What is the best POS for a UAE restaurant?

There isn't one for everyone. Choose by format, score each option on the card above, and pick the one that tells you the most about your profit for what you can afford.

Does my POS have to handle VAT?

Yes. Restaurant sales carry 5% VAT, and once you are VAT-registered every bill needs a proper tax invoice with your TRN.

Does UAE e-invoicing affect restaurants?

Sales to consumers are exempt for now. Business-to-business invoices fall under the mandate, from 1 January 2027 for businesses with revenue of AED 50 million or more, and from 1 July 2027 for the rest. Check your obligations with your tax adviser.

Do I need to buy POS hardware?

Not always. Some systems, including GrandTable POS, run on standard tablets and phones, and can take cards through an online payment account instead of a terminal.

Can I take card payments if the internet goes down?

On almost every cloud POS, no. Orders and cash can continue offline, but card payments need a connection.

How do I know if it is worth switching from my current POS?

Switch if you cannot see your food cost and profit without spreadsheets, if delivery orders are being missed, or if support isn't there when you trade.
